1. Who We Are

For the purposes of data protection law, we are the "controller" of the personal information collected through this website.

If you have any questions about this policy or how we use your information, please contact us using the details above.

2. The Information We Collect

We only collect the information we need. Depending on how you use this website, that may include:

• Enquiry information — when you complete the contact form we collect your name, email address, your phone number (optional), your main fitness goal (optional) and the message you write. If you call, text, email or message us directly we will also hold the details you give us.
• Website usage information — we use Google Analytics to collect information about how visitors use the site, such as the pages viewed, how you arrived, the type of device and browser used, and your approximate location. This is collected using cookies and similar technologies (see section 6).
• Technical information — like most websites, our servers process your IP address and basic request details so the site can be delivered securely. We also use your IP address for short-term spam and abuse prevention on the contact form.
• Public reviews — the homepage displays selected public Google reviews of G42 Studios, including the reviewer’s name as it appears on Google. If you wrote one of these reviews and would like it removed from this website, contact us and we will take it down.

We do not use this website to collect payment card details, and we do not knowingly collect any special category data (such as health information) through it. If you become a client, we will collect further information (for example, fitness and health questionnaires, measurements or progress photos) directly from you, and we will explain how that information is used at that time.

3. How and Why We Use Your Information

We must have a lawful basis for using your personal information. Ours are set out below.

We do not currently run a marketing mailing list. We will only use your details to deal with your enquiry and, if you become a client, to provide our services. We will never sell your personal information.

4. Who We Share Your Information With

We do not sell or rent your data. We only share it with trusted organisations that help us run the website and our business, and only where necessary:

• MailerSend — the email delivery service that sends your contact form message to us.
• Our website developer and maintainer, Code 360 Ltd — who host and support the website and who may receive a copy of enquiry emails so that problems can be diagnosed and fixed.
• Microsoft Azure — who provide the hosting infrastructure the website runs on.
• Google — for Google Analytics, and for the Google Maps and YouTube content embedded on some pages.
• Professional advisers, insurers, regulators or law enforcement, where we are legally required to or it is necessary to protect our legal rights.

These organisations act on our instructions or as independent controllers under their own privacy policies. Some of them may process information outside the UK. Where they do, we rely on appropriate safeguards such as the UK’s adequacy regulations, the UK International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses.

5. How Long We Keep Your Information

We only keep personal information for as long as we need it for the purpose it was collected:

• Enquiries that do not lead to a client relationship are normally deleted within 12 months.
• Client records are kept for the duration of our coaching relationship and for a reasonable period afterwards, including for insurance and tax record-keeping requirements.
• Website analytics data is retained in line with the retention settings in our Google Analytics account.

6. Cookies and Third-Party Content

Cookies are small text files placed on your device by websites you visit. This website uses:

• Analytics cookies (Google Analytics) — to measure how the site is used. These collect information in an aggregated way and are not used to identify you personally. You can opt out using the Google Analytics Opt-out Browser Add-on.
• Google Maps — a map is embedded on our Contact and Studio pages. Google may set cookies and receive information such as your IP address when the map loads.
• YouTube — our homepage video uses YouTube’s privacy-enhanced mode and only loads the video player when you click play. The preview image is requested from Google’s servers when the page loads.

You can control or delete cookies through your browser settings. Blocking cookies may affect how some parts of the site work. Our social media links (Facebook, X/Twitter and TikTok) simply take you to those sites, which have their own privacy policies.

7. Keeping Your Information Secure

We take reasonable technical and organisational steps to protect your information from loss, misuse and unauthorised access. The website is delivered over HTTPS and contact form messages are sent using an email delivery service rather than being stored on the website itself. No method of transmission over the internet is completely secure, so we cannot guarantee absolute security, but we take our responsibility seriously.

8. Your Rights

Under data protection law you have the right to:

• Be informed about how your information is used (this policy).
• Access the personal information we hold about you.
• Correct information that is inaccurate or incomplete.
• Erase your information in certain circumstances.
• Restrict how we use your information in certain circumstances.
• Object to us using your information where we rely on legitimate interests.
• Data portability — to receive your information in a portable format where applicable.
• Withdraw consent at any time, where we rely on your consent.

To exercise any of these rights, contact us using the details in section 1. We will respond within one month. We may need to verify your identity first, and there is normally no charge.

9. Making a Complaint

If you are unhappy with how we have handled your information, please contact us first so we can put things right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator: ico.org.uk/make-a-complaint or telephone 0303 123 1113.

10. Children

This website is not aimed at children under 16 and we do not knowingly collect their information through it. If you are under 16, please ask a parent or guardian to contact us on your behalf.

11. Changes to This Policy

We may update this policy from time to time, for example if our services or the law change. The latest version will always be published on this page, with the date it was last updated shown at the top.
